As a Communications Specialist and Project Manager, coordinating photoshoots and commercial shoots has become one of my favorite aspects of my work. From planning to execution, each shoot presents unique challenges and opportunities for creativity. Process and Deliverables
Discovery Phase:
- Creative Brief Development: I start by creating a detailed creative brief that outlines the shoot’s objectives, target audience, and key messaging. This document serves as a roadmap for all stakeholders involved.
- Timeline Creation: I develop a comprehensive timeline for the photoshoot, ensuring all parties are aligned on key dates, deadlines, and deliverables. This includes everything from scouting locations to final image proofs.
- Location Scouting: Using tools like maps and spreadsheets, I plot the shoot locations to determine the best angles and lighting conditions. This preparation ensures we make the most of our time on the day of the shoot.
- Budget Finalization: I coordinate with the photographer to finalize costs, ensuring the project stays within budget while meeting creative expectations.
Coordination Phase:
- Logistics Coordination: I liaise with various locations to arrange for access to shoot inside their premises. This involves securing permissions and understanding any restrictions or requirements they may have.
- Talent Coordination: If the shoot includes interview pieces or personality features, I work closely with the individuals involved, ensuring they are well-informed and prepared for their roles.
- Image Proofs and Selections: After the shoot, I review the proofs returned by the photographer, selecting the best images that align with the project goals. I prepare initial image picks for the client, facilitating a smooth review process.
Post-Production Coordination:
- Liaising with Creative Teams: During the post-production phase, I collaborate with scriptwriters, copywriters, and and post production creatives to ensure the project is in line with the creative brief, and fold in any stock images and video content that enhances the overall narrative.
- Final Review and Delivery: Once the edits are complete, I ensure that the final images are delivered to the client in the required formats, ready for use across various marketing platforms.

Coordinating photoshoots and commercial shoots requires meticulous planning, strong communication, and the ability to adapt on the fly.
